Mô tả công việc:

  1. Be responsible for accuracy of data on Call Report, Handover Minutes from Bank or BP and related documents:

  • Collect working documents e.g. call reports, handover letter, PM report, billable work report … all related papers from CSE on time and ensure those are correct and have authorized signatures as well as stamp (if required). Store collected working documents separated and carefully by account/bank for further query if needed.
  • Daily input call report detail on system. Make sure all information are true and accuracy on call report, Handover Minutes and all related papers as well as on ADS system or any other company tracking system.
  • Responsibilities to prepare, check and make sure call report summary, handover minutes, follow service contract, bill work, and documents for AR collection be submitted accuracy and on time by CSE and clients.
  • Tracking all PS and Service contract status, updated timely and accuracy on ADS or any other company tracking system. 3 months prior alert to related employees when contract is expriy for further action.
  • Make report of mistake to Supervisor or related person for CSE evaluation.

  1. Customer Satisfaction improvement:

  • Contact customer incase having evaluation on Call report from Medium down and regularly contact clients to get information and propose for customer service improvement.
  • Be minute maker for all Service meeting and distribute to all Services employee on the same day. Follow up status of pending works on meeting and input on minute for the following meeting.

  1. Support PS & Service team on information provided for Expense report and Payroll:

  • Responsibilities of checking Expense report of Service and PS Department. Summarize, scan and send to Finance per request.
  • Responsibilities of preparing, checking Overtime Report, check and report Timesheet, Annual Leave and any other Bonus on for Service, PS team and reporting on time. Updating new hire and existing employee’s data; collecting documents/ papers or handover from/ to new hire or existing employee when required. Summarize and scan then submit to HR as per request.

  1. Logistics & facilities arrangement for PS & Service team:

  • Prepare logistics material for travelling of employee in department such as book air ticket, hotel reservation, event booking etc… for Service, PS team.
  • Propose, request, handover, tracking and collect uniform, tools, stationary, cards, service station expenses, working facilities and equipment’s for Service team.
  • Guide and support Service team especially new hire team on any policies/ forms/ requirements from either company or BP or Bank or clients to make sure Service team do correct things and on time.
  • Report about incorrect documents submitted by Service and PS Department as data support for KPI assessment.
  • Propose, request PR and settle payment for expenses of PS and Service Department.
  • Submit collected working documents in defined template to Finance and HR monthly or any time be requested.

  1. Draft, translate letter, contracts or any other documents or being interpreter when requested.
  2. Support Receptionist and Sales Admin works when requested.
  3. Co-ordinate to visit employee’s family, encourage employee’s moral and organize team engagement, CCSR activities and company event. Joining in organizing event for company and propose to motivate and retain Service & PS employees.
  4. Responsible to other related administration and paper work of Service and PS department.
  5. Employee’s compliance commitment:

  • Strictly obey and compliance to UK Bribery Act, FCPA, Code of Business Ethics, Diebold Media policy, Conflict of Interest and any other Corporate’s policies: Make sure full understanding of the most recent policies and procedure, provide written confirmation of acceptance when requested, and ensure full compliance at all times. Provide certification of compliance whenever requested.
  • Obey and comply to company’s rules, regulations as well as direct supervisor and Asia Pacific leadership team requirements all times.
  • Lead the company to ensure that all the Diebold Nixdorf Vietnam employees comply to company’s rules, policies and regulations at all time.
  • Support company on observation of obeying company’s rules and regulation from all associates.
  • Give suggestion, solution or report of violate to related person and take action as agreement.
  • Innovation: Contribute to the continuous improvement of Diebold Nixdorf Vietnam and the company operations and process.
  • Join and support training program/ events and other program as requested.
  • Carry out effectively other tasks when needed or when assigned.
  • Other job as per sole assignment, transfer or instruction from time to time by Diebold Nixdorf, direct Supervisor and AP leadership team.

Year of Experience and Field of Experience:
  • Minimum 3 years of working experience as Service Administrator or Sales Administrator or Office Administrator for multinational company.
  • Knowledge:

  • Depth knowledge about electronic/ electrical equipment.
  • Language: English good at 4 skills: Listening, Speaking, Writing and Reading
  • Computer literacy and experience with computerized information (including spreadsheets, databases), familiar with software packages under Windows and E-mail.
  • Well organized in office administrative works.
  • Skills:
